From Google Doc to customer list in one paste
· 2 min read
Almost nobody arrives without a list. It is in a Google Doc, a Numbers file, or the notes app. The problem is never that the information is missing — it is that a document cannot tell you who to call today.
Bring it in as it is
You do not have to tidy it first. Select your rows in Google Sheets, copy, and paste them straight into the import screen. A CSV upload works the same way, up to 500 rows at a time.
Let it guess, then correct it
The import preview works out what each column is. If you have a header row it uses that; if you do not, it looks at the content — a column that is mostly phone numbers is the phone column. It shows you what it decided, and you fix anything it got wrong before committing.
Read the flags
Three things get called out before anything is imported:
- Invalid phone — will be skipped. Usually a typo, a missing digit, or the wrong thing typed into that column.
- Duplicate of row N — the same number twice in your file.
- Already a customer — blank fields get filled in, nothing you have is overwritten.
The result page lists exactly what was skipped, so you can go fix those rows and re-import just them.
Set the cadence while you are there
If your work repeats — gutters twice a year, panels every six months — apply one interval to everyone during the import. Each customer then gets their next reminder calculated from when you last served them.
That is the part a spreadsheet cannot do. Once the interval is set, the follow-ups page tells you who is overdue, who is due today, and who is coming up in the next two weeks. Mark someone serviced and the next reminder books itself.
What you get on the other side
A list that answers a question instead of storing an answer. Open it in the morning, see three names, make three calls.
