Orders, receipts & invoices
Not every sale comes through a drop. A custom cake, a repair job, a standing order — write it up as an order, and BatchDrop handles the paperwork when it is paid.
Included on Basic
Orders outside a drop
- Start an order from the Orders page or from a customer’s page, for someone on your list or someone new. Lines come from your catalogue or are typed in, and a typed line can be saved to the catalogue for next time. Someone new is added to your customers, but not opted in to texts.
Mark it paid, and a receipt goes out
- When the customer pays you — cash, Venmo, Zelle, or anything else — mark the order paid and say how. BatchDrop issues a receipt numbered for your store: RCP-0001, RCP-0002, and so on. You can also mark an order fulfilled before it is paid, for work you finish first and bill after.
Invoices on Pro and Business
- Send an invoice for an unpaid order you wrote up outside a drop — a job, a custom piece, a standing order — with an optional due date. The due date adds a follow-up for that day, so a late payment does not slip past you. Invoices are numbered INV-0001 and up, and an order has one live invoice at a time.
Delivered by email or text
- Receipts and invoices go by email if the customer has an email address, and by text if not. A receipt can be texted to anyone who has not replied STOP; an invoice by text needs them to be opted in to your texts. If it cannot be sent, you get the link to pass on yourself. You can resend, or choose the channel. Every document has its own link that opens without a login.
Paid once, settled everywhere
- Mark the invoice paid or the order paid; either one settles both and sends the receipt. Cancel the order and its invoice is voided, so it cannot be paid by mistake.
Corrections are void and reissue
- A sent document is never edited. To fix an invoice, void it with a reason, correct the order, and send a new one. The voided one stays on record.
Questions
Do receipts and invoices come as PDFs?
No. Each one is a web page with its own link, sent by email or text. Your customer opens it on their phone without signing in, and can print it from the browser if they need paper.
Can customers pay an invoice online?
Not yet. The invoice shows as awaiting payment, and your customer pays you the way they always do. When they have, mark it paid and the receipt goes out. Online card payments are in development.
Does BatchDrop work out sales tax?
No. BatchDrop does not calculate or add tax, and totals are in US dollars. Each total is the sum of the lines on the order.

Orders and receipts are on every plan. Invoices, for orders outside a drop, are on Pro and Business.
